EMP501 Annual Reconciliation Guide for South African Employers

The EMP501 Employer Reconciliation is an annual declaration that every registered employer in South Africa must submit to SARS. It reconciles the PAYE, UIF and SDL paid via monthly EMP201 returns against the actual amounts due based on employees' earnings.

Key Deadlines

  • Interim reconciliation: 31 October (covers 1 March – 31 August)
  • Annual reconciliation: 31 May (covers full tax year 1 March – 28 February)

What the EMP501 Reconciles

  1. Total PAYE paid on EMP201 returns for the period
  2. Total UIF contributions paid
  3. Total SDL paid
  4. ETI (Employment Tax Incentive) claimed
  5. Employee certificates (IRP5/IT3(a))

Generating IRP5 Certificates

Each employee must receive an IRP5 (or IT3(a) for zero-tax earners) certificate by the time you submit. The certificate shows their total remuneration, deductions, and tax for the year. These are generated from your payroll system and submitted electronically via e@syFile or eFiling.

Common Mistakes

  • Mismatched PAYE figures between EMP201 and EMP501
  • Incorrect income codes on IRP5 certificates
  • Missing or incorrect tax numbers for employees
  • Not including fringe benefits such as company cars and medical aid employer contributions
