New Employee Documents Required in South Africa

Collecting the right documents before an employee's first day avoids payroll delays and compliance gaps later. Here's exactly what to request.

Required for every employee

  • Certified copy of ID (or passport / work permit for foreign nationals)
  • Proof of banking details — bank confirmation letter or stamped statement, not just an account number
  • Income tax number — if the employee already has one from SARS
  • Signed employment contract — required under the BCEA before or on the first day
  • Emergency contact / next of kin details
  • Proof of address — for statutory records and, where relevant, UIF claims

Required for foreign nationals

  • Valid work visa or permit confirming the right to work in South Africa
  • Passport copy
  • SARS income tax number (foreign nationals working in SA must register)

Role-dependent documents

  • Qualification certificates — where the role requires a specific qualification or registration (e.g. accounting, healthcare, construction trades)
  • Driver's licence — for roles requiring driving
  • Police clearance — for roles involving finance, security or vulnerable persons
  • Medical certificate of fitness — for physically demanding or safety-critical roles

Documents you generate, not collect

The employment contract, job description and any company policy acknowledgements are documents your business issues to the employee — not the other way around. Keep signed copies of everything on the employee's personnel file, retained for at least 3 years after termination under the BCEA (5 years for tax-related records).
